Built from the job, not from memory

Billable time and materials come across as line items with your margin applied, so what you did is what you bill.

Pay now, by card

With Stripe connected, each invoice carries a hosted payment link. Card, Apple Pay, and Google Pay all work out of the box.

Reconciles itself

A signed Stripe webhook records the payment, writes the reference, and moves the invoice to paid or partly paid. Duplicate webhook deliveries cannot double-credit an invoice.

Straight into your ledger

Sending an invoice creates it in Xero or MYOB against the matching contact, with GST intact and a reference back to the job.

What you actually do

    Generate from the job

    Billable hours and materials become line items. Adjust anything while the invoice is still a draft.

    Send it

    The customer gets an email with a link to view the invoice, a Pay now button, and your bank details for direct credit.

    Get paid

    Card payments reconcile automatically. Bank transfers and cash are recorded in two taps.

    Watch the overdue list

    Anything past its due date is flagged, so chasing is a five-minute job on a Friday rather than a monthly panic.

The details that matter

  • Payment terms default to your configured number of days and can be overridden per invoice.
  • Statuses are derived from what has actually been paid, so partly paid, paid, and overdue always agree with the payment records.
  • Marking an invoice paid by hand still writes a payment record, so the history never contradicts the total.
  • Invoices carry your legal name, GST number, bank account, and footer text on both the online and printed copy.
  • Every payment stores its method and reference, plus the Stripe session id when it came through a card.

Questions

Before you switch

Do I need Stripe to send invoices?

No. Without Stripe you still get a full tax invoice with your bank details for direct credit, and you record payments yourself. Stripe just removes the chasing.

Can I take part payment or a deposit?

You can record any number of part payments against an invoice and the balance tracks correctly. Taking a deposit against a quote through Stripe is on the roadmap.

What happens if I disconnect Stripe?

Existing payment links are cleared so no customer can pay into an account you have removed. The invoices themselves are untouched.

Where do refunds happen?

In the Stripe dashboard. GoSmoko does not issue refunds, which keeps the money movement in one place with one audit trail.
